NOVA District Officer Duties

RESPONSIBILITIES OF THE DISTRICT

  • Carry on effectively within the Northern Virginia District the work of the National and Virginia PTA.
  • Act as liaison between the Virginia PTA and local units and councils within the Northern Virginia District.
  • Coordinate policies and current programs of local units and councils with the Virginia PTA.
  • Offer advisory services to councils and local units within the district.
  • Provide leadership training to councils and local units within the district.

 

RESPONSIBIITIES OF DISTRICT OFFICERS

District Director

  • Shall serve as a member of the Virginia PTA Board of Managers (this involves approximately 4 weekend board meetings a year). These meetings are held in various parts of our state. Pre-convention board meeting is held just before the beginning of our annual convention; winter board meeting (for purposes of training is generally held in Richmond); spring board meeting (purpose is the majority of the business of the Virginia PTA and is generally held in Richmond or some other centrally located area); and pre-LTC board meeting (held at site of our Leadership Training Conference). If Director cannot attend one of the above meetings, another officer can attend to represent the Northern Virginia District.
  • Preside at all meetings of the district, executive board and executive committee meetings included.
  • Report and interpret the actions of the Board of Managers to local units and councils within the Northern Virginia District and present concerns of local units and councils in the Northern Virginia District to the Virginia PTA Board of Managers.
  • Work with the district executive board to direct affairs of the district and to plan the annual district meeting. Our district is required to have 6 executive board meetings a year, a fall legislation meeting; a district training meeting either in fall or spring (sometimes combined with fall legislation or spring legislation meeting); a spring legislation meeting; and the general membership annual meeting (reflections, citizenship essay and scholarship student awards, district volunteers of the year, and local membership award winners are presented achievement awards and recognitions; officers elected, budgets approved, bylaws approved and any other district business)
  • Serve as a member of at least one standing committee of the Virginia PTA as assigned by the state president.
  • Give assistance to councils and local units within district
  • Serve as ex-officio member of executive board of councils within district. Serve as ex-officio member of all district committees except the nominating committee.

 

Assistant District Directors (1st and 2nd)

  • Act as an aide to the District Director in fulfilling the above duties as designated by the District Director.
  • Northern Virginia District First Assistant District Director serves as a member of the Virginia PTA Board of Managers, attending Virginia PTA BOM meetings as outlined above under duties of District Director.
  • Represent the District Director when needed at District meetings and Virginia PTA Board of Managers meetings when required.
  • Obtains training as offered in fulfilling their responsibilities to the district.
  • First Assistant District Director serves as member of at least one standing committee of Virginia PTA as assigned by state president.
  • Perform other duties as assigned.

 

Secretary

  • Keep accurate minutes of district meetings and meetings of the executive board or executive committee.
  • Send copies of minutes of the annual meeting to the director within 15 days following the annual meeting and to the Virginia PTA by June 1.
  • Receive and file district reports from officers, chairmen, councils and local PTA units.
  • Conduct correspondence as directed by the executive board or the director.
  • Keep the official copy of the district bylaws in files. Perform other duties as assigned.

 

Treasurer

  • Keep detailed and accurate accounts of receipts and expenditures for the district.
  • Authorize disbursements as approved by the district director, executive board or association in accordance with the budget adopted by the association.
  • Serve as member of budget committee and assist in preparing budgets and submitting to Virginia PTA by deadlines.
  • Present a written financial report of district funds at each meeting of the association and at other times as requested by the executive board.
  • Prepare annual district financial reports as required by the Virginia PTA.
  • Perform other duties as assigned.
